We are currently accepting resumes for the role of Proposal and Marketing Specialist for an 18-month term. The Proposal and Marketing Specialist reports directly to the Director of Business Development and will work in collaboration with the Business Development and the Operations teams to coordinate and prepare the development of bid proposals and pre-qualifications, other proposal documentation for various opportunities and aide in corporate marketing support out of our Calgary office. This role will be primarily administrative in nature with no anticipated on-site activities.

Job Duties:

  • Provide administrative support and services to the Business Development and Operations teams
  • Maintain the proposal development lifecycle from incoming proposal to final delivery. This includes, but is not limited to: arranging internal proposal development meetings, proposal clarification submittals, addendums, amendments, tracking due dates, and developing the proposal in consultation with Business Development and Operation teams
  • Maintain a high standard of document control including downloading proposal files, creating project files, and ensuring files are maintained with all relevant documents throughout the proposal process
  • Create and maintain a library of key employee proposal resumes, project profiles, and any other relevant documents
  • Maintain the proposal database including proposal status, wins, losses, and customer proposal debrief
  • Compile and maintain all company marketing materials, brand imaging, corporate and business development presentations, and various social media platforms including the company website
  • Support business development initiatives such as client events, conferences, and tradeshows as required
  • Identify marketing opportunities, plan events, and work collaboratively with the Business Development team to distinguish other initiatives that support building strong customer relationships
  • Other duties as assigned

Requirements:

  • Be fit for duty daily

  • Demonstrate leadership in all aspects of the job
  • Strong computer skills with proficient ability to effectively use Microsoft Office Suite (with a focus on PowerPoint, Excel, and Word), SharePoint, CRM and Office 365 migration
  • Exceptional writing skills with high attention to detail and technicalities
  • Strong interpersonal and verbal communication skills
  • Ability to work in a fast-paced, dynamic environment with solid attention to detail, organizational, time management and multitasking skills
  • Ability to work collaboratively with a wide variety of people including office staff, diverse cultures, and various work experience levels
  • Ability to build and maintain lasting relationships with corporate departments, key business partners, and customers
  • Ability to follow through and complete overlapping projects
  • High level of sound and independent judgment, reasoning, and discretion
  • Willingness and ability to undertake training needed in order to fulfil the changing requirements of the position
  • Manual dexterity required to use desktop computer and peripherals
  • Ability to work overtime as required
  • Experience with creative software applications considered an asset
  • Post-Secondary degree or diploma in Marketing, Communications, or a Business-related field
  • 3+ years of experience working in marketing/business development with marketing and/or proposal creation understanding
  • Previous experience in the Oil and Gas service industry is an asset
